Please rest assured Fired 4 U will always treat your personal details with the utmost care and will never sell or pass them to other companies for marketing purposes. The information you receive from us is all about crafts and ceramics in or out of our studio or events happening in the studio. We have been operating since 2006 and if we have your contact information from back then we will continue to use it until you choose otherwise and unsubscribe from our forms of contact with you.

Fired 4 U is a limited company and is run by the sole Director, Jane Fox. Whilst we may use the words “we” or “I” or “Team” it is Jane who writes all content, does social media posts and controls the email newsletters.

The personal information we have on you is only what you give us to be able to reach you to remind you to collect your pottery, to tell you your orders are ready or to send you newsletters. We keep your information in the following way – when you complete the form in the studio giving us permission to contact you using it, it is then loaded onto our data base by one of our team members in the studio, which is held secure on a laptop which is encrypted and password protected. The form which you completed in the studio is then kept in a secure file as we have to prove you gave us permission to contact you, unless you sign up on line then we don’t keep the paper version of the information. If you don’t tick the permission box, once you have collected your pottery we burn the paper slips to destroy them securely. The basic information of your name and email address are loaded up to the Mailchimp system, by Jane Fox which we use for our newsletter emails. The emailing newsletter system we use is Mailchimp which is GDPR compatible and secure. Only Fired 4 U has access to the information held there which is password protected too. You can unsubscribe yourself from the mailing list at any time you choose by using the option at the end of each newsletter. This system tells us when you’ve opened the email and how regularly you do so.

Our Website, cookies and other digital information

Our website is linked to google analytics so we can find out where our customers come from and what they are interested in. No personal data is kept or tracked other than location and which pages people visited.

Our Website is hosted by WP Engine who are GDPR compliant and based in the UK. Their Parent company is based in the USA and is compliant with GDPR using the agreed Privacy Shield Policy.

We have Facebook pixels on our website too and this is similar in helping us see how our customers find us and what they are interested in but does not keep any personal information on anyone.

Our Website does not collect your personal information unless you choose to sign up to receive our email newsletter.

Contact us page on our website only asks for your name, email address and telephone number which is the basic information we require when you get in touch with us. This information is used appropriately and sometimes added to our newsletter list depending on what you contact us for.

Bespoke orders

We have your name, telephone, email address and postal address to be able to contact you to check details during the making if needed and to tell you when the order is on its way. We will ask you if you wish to be on our newsletter mailing list and if so add you. If not we won’t keep your details after the orders are completed.

Credit card machine

Our card payment machine does not collect personal information and the card details on our copy of the receipt are incomplete so therefore cannot be used by anyone. These receipts have to be kept in our company account records for 7 years we have no choice in this and they are kept in a secure manor away from the studio.

Purchases on line

Via our website or Etsy uses the Paypal system and this does not save any personal information. If you pay us over the telephone we input the card details straight into the machine they are not written down or saved anywhere.

Facebook / Social media

If you chat to us on any social media platform either publically or privately it is stored in the normal way by each platform, we do not send this information anywhere or save it. It is processed by each individual platform

Data Sharing

We do not sell or exchange the data we hold on you.
If we invoice you, our Accountant needs to see the invoice in order to sort out the books.

We restrict who can export or download data that is held to a limited number of individuals who are authorised to back up data.

Where is your data located?

In common with most small businesses, we do not have any tailor-made software – we use mainstream packages for everything from our customer records, to email, to accounting.

This means that much of our data is held in services in the USA, We have picked mainstream suppliers with appropriate security standards.

Retention periods

We have a long-term and discreet relationship with most of our customers. Legally we have to hold your information for 7 years in our accounts if you have purchased from us. This allows us to have financial records going back far enough to satisfy HMRC.

Our customers often come back to us for repeat orders for other occasions or birthday or group bookings we then use the information you have given us in the past to be able to complete the new orders or bookings you want with us in a speedy and easy manner for you.

If you have contacted us but never purchased from us, you will remain on the list you joined until you unsubscribe from that list. We clean our lists from time to time and unsubscribe people who not ever read anything from us. But in order to avoid adding you again by mistake, unsubscribes are kept on an unsubscribe list.

If you are not happy with being on any of our lists you can simply unsubscribe. If you want to be removed from our customer records, please let us know.

Your rights

You have the right to know what information we are collecting on you and to amend it. We don’t want to collect any information that is not necessary to running our business and making you a happy customer. If you feel for some reason we have information we should not be keeping, or it is out of date or otherwise wrong, please let us know and we will take appropriate action.

Some of our information is not based on individual consent but needing the information to run the business, but you can withdraw your consent to being on an email list at any time by simply unsubscribing.

You have a right to be forgotten, and if you want us to remove information about you, let us know.
